About this update. This version was published on October 7, 2026; it changes only Privacy Policy Sections 5 and 14, and the Terms text is unchanged from the October 5, 2026 version. It applies to new Customers who accept it. For existing Customers, the previous Terms continue to govern until the applicable notice period in Section 13 has elapsed and, for a material change, Customer has affirmatively re-accepted the changed Terms. Publication of this page alone is not notice or re-acceptance.

1. Operator, contact, and agreement

Hekima Solutions Inc. ("Hekima," "we," "us," or "our"), with a mailing address at 7915 152A Ave NW, Edmonton, Alberta T5C 3A1, Canada, operates Church Media Kit (the "Service") at https://churchmediakit.com. "Church Media Kit" is a product/service name of Hekima Solutions Inc., not a separate legal entity.

These Terms are the agreement between Hekima and the Customer (defined in Section 2) governing access to and use of the Service. A User accepts these Terms as a condition of creating a Church, accepting an invitation, or using the Service. A User who creates a Church makes the authority representation in Section 2 on the Customer's behalf; an invited User accepts these Terms only on that User's own behalf. The Privacy Policy and Data Deletion instructions are incorporated by reference.

2. Eligibility and authority

Church Media Kit is offered to church and organization accounts. In these Terms, "Customer" means the church or organization that holds a Church account, and "User" means an individual who creates a Church, accepts an invitation to a Church, or otherwise uses the Service through a Church account.

Individual eligibility and acceptance. Each User must be at least 18 years old and provide accurate account information. A User who accepts an invitation accepts these Terms as an individual User. Invitation acceptance does not create a Church, start a trial, or represent that the invited User is authorized to bind the inviting Church or organization.

Church creation authority. By creating a Church, a User represents that the User is authorized to act for and bind the church or organization that will hold that Church account. The Service records the User's Terms and Privacy acceptance and the resulting authority representation. Terms acceptance is required to create a Church.

Account availability. Church creation is available globally, subject to applicable law and Hekima's ability to support the Service in a particular location. Payment methods, taxes, and individual features may vary by location and will be disclosed before purchase. Hekima may decline, suspend, or limit access where required by law, provider availability, or operational constraints.

Church memberships and invitations. A User may own more than one Church and may hold a membership in more than one Church. A Church has one Account Owner and may have Team Members. An invitation is for one email address and one Church; it becomes a membership only when it is accepted with an account whose verified email matches the invitation. A User may not hold more than one active membership in the same Church. Hekima may revoke or expire an invitation as provided through the Service.

Ownership transfer and personal-account deletion. An Account Owner may use Hekima's controlled transfer process to transfer ownership only to an existing active Admin of that Church, and the Admin must accept the transfer. When the transfer is accepted, the former Account Owner becomes an Admin. The Church's billing account and subscription remain with that Church; the new Account Owner is responsible for updating the payment method and confirming the Church's billing contact details. Billing-contact updates are subject to successful synchronization with Stripe; contact support if billing messages continue to go to the former Account Owner. A User may not delete that User's personal account while the User owns a Church; the User must first transfer or delete each Church the User owns.

Customer is responsible for the accuracy of Church and organization information, for reasonable control of account credentials, and for promptly notifying support@churchmediakit.com of suspected unauthorized use. Customer must have authority to connect and act for each church, organization, or third-party account (including social accounts) used with the Service.

3. Service scope

Church Media Kit helps Customer turn sermon material it provides into editable, AI-assisted content drafts. The Service includes:

  • YouTube sermon intake. Customer submits a YouTube video URL. Hekima performs server-side canonicalization of the submitted URL to a standard https://www.youtube.com/watch?v=<id> form and retrieves publicly available video information (such as title, description, and thumbnail) and caption/transcript data associated with that video.
  • Ownership and rights attestation. Before transcript preview and again before kit generation, Customer must attest that it holds the rights, permissions, and lawful authority needed to submit, process, and publish the source material. This attestation is a representation made by Customer to Hekima only. It is not authorization from YouTube, evidence of compliance with YouTube's Terms of Service or Developer Policies, and it does not indemnify Hekima against a claim that the import method or Customer's use of the video violates YouTube's terms or a third party's rights. Caption retrieval uses TranscriptAPI rather than YouTube caption-download authorization or Customer's YouTube OAuth consent; channel discovery and public upload listings may also be retrieved through YouTube's Data API.
  • Uploaded Sermon Videos. Customer may upload a sermon or service recording for audio extraction, automated transcription, sermon detection, AI-assisted clip discovery, and rendering of downloadable Sermon Clips with captions. The Sermon Upload Workspace provides recording playback while the source is retained, a timestamped transcript, and available AI-assisted text drafts such as a summary, points, discussion questions, a small group guide, social copy, keywords, and an email recap. Customer can review the available outputs, edit supported text, and download ready clips individually or together. Processing and individual outputs may fail independently; no particular number of clips, processing time, transcription accuracy, or publication result is guaranteed.
  • Final uploaded recording. Uploaded recordings are final in the supported workflow. Customer must select and, if needed, trim the recording before completing upload; recording replacement and post-upload re-trimming or Sermon Range changes are not supported. A supported processing retry reuses the stored source while it remains available; supported text regeneration does not replace the recording.
  • AI-assisted drafting. Generation of editable content drafts (captions, images, layouts, and related assets) using the sermon material Customer submitted.
  • Studio editing. Customer review, editing, and finishing of generated drafts.
  • Export. Customer download of finished material.
  • External publishing. The current subscription does not include scheduling or sending content to third-party destinations.

The Service may change, be interrupted, or contain errors. It is provided on an "as is" and "as available" basis to the extent permitted by applicable law. Hekima does not promise uninterrupted, error-free, or continuous availability.

4. Customer Material and licence

"Customer Material" means text, transcripts, uploaded recordings and their audio, video and clip derivatives, source video references, images, branding, instructions, prompts, settings, connected-account information, and other material Customer provides, submits, or selects for use in the Service, together with the drafts and edits Customer produces using it.

Customer ownership. Customer retains ownership of Customer Material. Nothing in these Terms transfers ownership of Customer Material to Hekima.

General service licence. Customer grants Hekima a non-exclusive, limited licence to host, reproduce, transform, transmit, and display Customer Material only as needed to provide the functionality Customer requests, operate and support the Service, prevent misuse, and comply with law. This general licence ends when the relevant Customer Material is deleted from Hekima's active systems, subject to the completed-kit preservation licence below and the retention and deletion terms in Section 7.

Completed-kit preservation licence. For a Sermon Kit that reaches completed status, Customer additionally grants Hekima a broad, perpetual, worldwide, royalty-free licence to host, reproduce, display, adapt, distribute, and preserve that completed kit as needed to operate, maintain, support, secure, and enforce the Service. If Hekima later makes an external-publishing feature available and Customer uses it, this licence also permits preservation of the resulting operational record. This preservation licence exists so that Hekima can keep an accurate operational record even after Customer requests deletion of the underlying active material; it does not extend the general licence over material Customer has asked Hekima to delete, and it does not grant Hekima any right to actively use, promote, or redistribute the completed kit beyond the operational and preservation purposes stated here.

No training or marketing use without consent. Neither licence in this Section authorizes Hekima to use Customer Material for model training, model evaluation, product-improvement datasets, testimonial or marketing examples, or sale. Any such use requires Customer's separate, explicit, revocable consent under a distinct consent record.

Customer representations. Customer represents that it has the rights, permissions, consents, and organizational authority needed for Customer Material and the uses Customer requests, including permissions concerning speakers, recordings, music, images, personal information, and connected accounts. For an uploaded recording, these representations apply when Customer submits it, even though the upload flow does not require a separate rights attestation. A right to record or stream a service, or a church music licence, does not necessarily permit transcription, AI processing, editing, clipping, download, or redistribution of music, performances, or other third-party material; Customer must obtain the permissions needed for each requested use. Customer must not direct the Service to infringe rights or violate law or a third party's terms.

5. AI-generated drafts, human review, and no professional advice

The Service uses OpenAI's Responses API to generate and revise content drafts. For a given request, OpenAI receives the relevant sermon context, transcript text or excerpts, prompts, and settings for drafting, sermon detection, clip selection, or caption correction. Uploaded-recording audio is transcribed through Cloudflare Workers AI using the Cloudflare-hosted Deepgram Nova-3 model. Hekima's OpenAI integration is configured with store: false. This configuration is intended to limit OpenAI-side persistence of that request; it is not a guarantee of zero data retention, and it does not eliminate OpenAI's use of data for abuse and misuse monitoring under OpenAI's own policies.

Generated material is draft material. It may be inaccurate, incomplete, unsuitable, repetitive, or similar to material generated for another customer. Customer must review and approve generated material before relying on, distributing, or publishing it. This includes transcripts, caption wording and timing, clip boundaries, speaker framing, and any music or personal information retained in a clip. AI selection does not verify recording rights or make a clip safe to publish. Generated material is not theological, pastoral, medical, legal, or other professional advice, and Hekima makes no promise that it is original, accurate, doctrinally sound, or free of third-party rights. Customer remains solely responsible for the accuracy, theology, suitability, originality, and copyrightability of anything it publishes, and for the decision to publish.

6. Third-party services

The Service depends on third-party providers whose own terms and processing practices apply. Their outages, policy changes, or account restrictions may affect the Service.

  • TranscriptAPI — receives YouTube video or channel identifiers, channel lookup input, search queries, continuation tokens, and retrieval settings to return public channel/video metadata and caption/transcript data; it does not receive uploaded Sermon Video recordings through this import path.
  • OpenAI — receives relevant sermon context, transcript text or excerpts, prompts, and settings for drafting, sermon detection, clip selection, and caption correction (Section 5).
  • Pexels — when Customer uses stock-photo search, receives a generated or free-text search query and related parameters; Hekima retains selected photo metadata (such as photographer credit and source URL) with Customer's content, and displays required Pexels attribution.
  • Cloudflare — stores uploaded and generated files in private R2 buckets, runs the recording-processing and clip-rendering infrastructure, transcribes extracted audio through Cloudflare Workers AI using its hosted Deepgram Nova-3 model, and provides application observability with sampled logs. If Hekima later makes an external-publishing feature available, Cloudflare may also operate the supporting dispatch workers. R2 uses an Eastern North America location hint, which is not a Canadian data-residency guarantee.
  • Meta — if Hekima later makes an external-publishing feature available and Customer uses it for a connected destination, Meta may receive the caption, image URL, alt text, placement, relevant identifiers, and a connected-account credential needed to publish; Meta would store the resulting post independently of Church Media Kit.
  • Supabase — stores account and organization data, sermon and generation records, file metadata, uploaded-video status, transcripts and timings, clip metadata, generated-content records, and usage/cost records for the Service. If a future external-publishing feature is used, it may also store the associated operational records.
  • Stripe — processes billing; receives Customer's account email and subscription/transaction data. Church Media Kit never receives or stores full payment card numbers; Stripe collects payment details directly.

Storage design. All files created or retained by the Service, including source uploads, account assets, generated media, and publication assets, are stored in private Cloudflare R2 buckets. Development and production use separate buckets. Direct uploads and provider reads use short-lived signed access, and the Service retains an immutable object key rather than the signed URL. Customer should not upload confidential or highly sensitive material that is not necessary for the requested public-ministry output.

7. Publication, retention, and deletion

Customer decides whether to publish a draft and remains responsible for reviewing the final content, destination, and permissions before publication.

Retention while active. While Customer's account is active, existing kits remain viewable and editable, subject to this Section and Customer's applicable generation allowance (Section 10). The current Studio supports image downloads and available Sermon Clip downloads, including bulk clip downloads; these are not a portable account-data export.

Uploaded-recording retention. Original Sermon Video source files become eligible for deletion 14 days after upload completes. Removal is deferred while processing or rendering still needs the source and is performed through retryable deletion jobs. The source is not an archive: keep your own original recording. After source removal, original-recording playback and source-dependent processing retries are unavailable. Retained transcripts, Sermon Outputs, rendered clips and their supporting files are separate from the source and remain subject to deletion of the Sermon Video, Sermon or Church and the other rules in this Section.

Future external-publication records. The current subscription does not include external publishing. If Hekima later makes that feature available and Customer uses it, Hekima may retain an immutable operational record and full-resolution rendered media for 30 days after successful delivery, then reduce it to a lightweight history record (metadata, links, checksums, and a compressed thumbnail).

Post-cancellation read-only period. The planned 12-month read-only state and its access rules are not yet implemented and must not be treated as available until release evidence exists. Hekima's planned policy is to send warnings 30 days and 7 days before the end of that period or before a scheduled deletion.

Deletion. Cancellation is not deletion. Existing content remains available under this policy until Customer requests deletion or an applicable retention rule removes it. Hekima's deletion policy commitment, being implemented as a durable, retryable process, is:

  • an active-account deletion request is completed within 30 calendar days, subject to a documented legal hold, security investigation, or other lawful exception;
  • backup copies are expected to expire within an additional 35 days after active deletion, absent a documented legal hold or statutory retention requirement; and
  • deletion removes database records, private R2 source and working objects, derived assets, and credentials, subject to the exceptions above.

What deletion does not do. If Hekima later makes an external-publishing feature available and Customer uses it, deleting content or an account from Church Media Kit would not automatically remove, unpublish, or delete a post already sent to Meta or another provider. Customer would need to use that provider's own controls to remove already-published content; see Data Deletion for instructions.

Export. The Service does not currently provide a portable account-data export. Before deletion, Customer may download supported Studio images and ready Sermon Clips, individually or through the available bulk-download flow; see Data Deletion.

8. Acceptable use

Customer must not use the Service to:

  • violate law, or an intellectual-property, privacy, publicity, confidentiality, or contractual right;
  • distribute illegal, infringing, defamatory, hateful, harassing, exploitative, sexual, graphically violent, extremist, deceptive, fraudulent, credential-bearing, or malware-carrying material;
  • submit unnecessary confidential or highly sensitive personal information, including counselling content, health information, confession or pastoral-care disclosures, prayer-request details naming vulnerable individuals, or children's personal information, where that information is not necessary for the requested public-ministry output;
  • impersonate another person or organization or misrepresent authority to act for one;
  • interfere with the Service, bypass access or usage controls, introduce malicious code, or probe systems without authorization; or
  • use third-party content, accounts, or services (including YouTube, Pexels, or Meta) in breach of their applicable terms.

Hekima may restrict or suspend access reasonably necessary to address suspected misuse, legal requirements, security incidents, or material breach of these Terms (Section 12).

9. Intellectual property and feedback

Hekima and its licensors retain all rights in the Service, including its software, workflows, templates, design systems, prompts, and other pre-existing or independently developed materials. Except for the limited right to use the Service under these Terms, no rights in the Service are transferred to Customer, and Customer's ownership of Customer Material is not a transfer of Hekima's platform rights.

Customer may provide feedback about the Service. Hekima may use feedback, without compensation to Customer, to operate and improve the Service. Feedback is not a licence to reuse Customer Material for model training, model evaluation, product-improvement datasets, or marketing examples — those uses remain governed by Section 4.

10. Fees, renewal, cancellation, and refunds

Price, trial, and billing. The Service offers Starter at USD 29.95 per month, Growth at USD 59 per month, and Volume at USD 119 per month, each billed month to month with no annual plan. An eligible new Account Owner may start one card-required seven-day trial. Stripe collects the required payment method before the trial begins; Church Media Kit does not receive or store full card numbers. The trial includes one successful full Sermon Kit generation, one Sermon Video upload of up to two hours, and one Church Page. Unless Customer cancels before the trial ends, the plan Customer selected starts at the end of the seven days.

Seats. Starter includes two Seats, Growth includes five Seats, and Volume includes eight Seats. Existing USD 29.95 subscribers (Legacy) retain two Seats and seven successfully completed full Sermon Kits per paid Stripe billing period for this rollout. Each active Team Member, including the Account Owner, and each pending, unexpired invitation uses one Seat. A Church in its payment grace period retains the Seats from its last verified paid period. A Church in a trial has one Seat. A cancellation scheduled for the end of a paid billing period does not end that paid access or change its Seats before the cancellation takes effect. After paid access ends, a Church has one Seat; additional Team Members are suspended rather than removed and regain access when paid access resumes and Seats are available. Seats are fixed by plan; there is no purchase of additional Seats.

Generation allowance. After a successful first payment, each paid Stripe billing period includes five successfully completed full Sermon Kits on Starter, eleven on Growth, or twenty-five on Volume. The trial generation does not reduce that paid-period allowance. A known generation failure does not consume an allowance slot, and a retry of the same failed request does not consume an additional slot. Exhausting the allowance does not cancel the subscription or delete existing kits; it limits new generation until the next billing period. Existing USD 29.95 subscribers retain seven successfully completed full Sermon Kits per paid Stripe billing period.

Sermon Video allowance. The video allowance is separate from the full Sermon Kit generation allowance. Each paid Stripe billing period includes four Sermon Videos of up to two hours each on Starter, eight of up to three hours each on Growth, or twenty of up to four hours each on Volume. Legacy includes four of up to two hours each. The trial video does not reduce the paid-period allowance. The cap applies to the recording duration submitted for processing after any supported pre-upload trimming; accepted source files must also meet the upload format, size, and overall duration limits shown in the Service. An upload reserves capacity while processing and consumes one video unit only when it becomes Ready. A known terminal failure releases its reservation without consuming a unit; a supported retry of that failed upload does not consume another unit. A Ready video may include fewer clips than expected or a separately failed text output. Text-output generation and supported text retries or regeneration do not consume additional video units, but have their own service limits. Unused video units do not roll over, there are no automatic overage charges, and the Service blocks new uploads when the allowance is exhausted until capacity or the next period becomes available.

Failed payment. An unpaid first conversion from the trial does not grant paid generation access. For an established paid subscription, if a renewal payment fails, Customer retains access during a three-day grace period from the first accepted past_due event. Access following the grace period is subject to successful payment.

Plan changes and cancellation. The Account Owner changes the Church's plan and cancels in Church Media Kit. An upgrade applies immediately after the plan change is verified; any required prorated charge must succeed. A downgrade takes effect at the end of the current billing period and may be scheduled only when active Team Members and pending, unexpired invitations fit the target plan's Seat limit; the Account Owner may undo a scheduled downgrade before it takes effect. The Stripe Customer Portal handles payment-method updates, billing details, and invoice history only; it does not change plans or cancel subscriptions. Cancellation during the trial ends it immediately and prevents the monthly charge. After a paid billing period begins, cancellation takes effect at the end of the current billing period. Existing kits remain accessible following cancellation, subject to Section 7's retention terms.

Refunds. Customer may request a refund within 7 days of the initial charge only if the account has completed zero successful full Sermon Kits during that period. Duplicate charges and material service errors are separate grounds for a refund. Cancellation does not create a prorated refund for the remaining portion of a billing period. These refund terms do not limit any non-waivable statutory right Customer may have under applicable law.

Price changes. Existing USD 29.95 subscribers retain their current Stripe Price and seven-kit allowance for this rollout. Hekima may later change that Price or another price with at least 30 days' notice; this retention does not promise a permanent grandfathered price.

Taxes. Applicable taxes are charged, collected, and remitted as required by law.

Service shutdown. If Hekima shuts down the Service or materially reduces the paid Service, Hekima will give at least 30 days' notice, allow Customer to download supported Studio files through the then-available bounded export flows, and refund the unused portion of the then-current paid period on a prorated basis. This is not a promise of a portable account-data export.

11. Termination

Hekima may suspend or terminate access immediately, without a cure period, for serious misconduct — including illegal use, security threats, infringement, or abuse under Section 8. For an ordinary, curable breach of these Terms, Hekima will provide Customer a 10-day opportunity to cure before termination. Where Hekima terminates or does not renew access for reasons other than serious misconduct, Hekima will provide a 30-day opportunity to download supported Studio files through the then-available bounded export flows where practicable. This is not a promise of a portable account-data export.

Customer may stop using the Service and cancel its subscription at any time (Section 10). Provisions that by their nature should survive termination — including Sections 4 (to the extent of the completed-kit preservation licence), 7, 9, 12, and 13 — survive.

12. Disputes

These Terms are governed by the law of Alberta, Canada and the federal law of Canada applicable in Alberta, without regard to conflict-of-law rules. The parties submit to the courts located in Edmonton, Alberta for any dispute not resolved informally.

Before filing a court claim, a party must first give the other party 30 days to resolve the dispute informally, except for urgent security, privacy, legal-compliance, or injunctive matters, which may proceed without waiting. These Terms do not require arbitration.

Nothing in this Section waives a consumer protection or other statutory right that applicable law does not permit the parties to waive by agreement.

13. Changes and notices

Hekima may update these Terms. Operational changes take effect no earlier than 10 days after notice. Material changes — those that materially affect Customer's rights, duties, price, privacy, or use of Customer Material — take effect no earlier than 30 days after notice and require Customer's affirmative re-acceptance before the changed terms apply to Customer. Urgent security, fraud, abuse, or legal-compliance changes may take effect immediately when reasonably necessary, with notice and an explanation provided as soon as practicable afterward.

Hekima will provide notice under this Section through the Service, the account's registered contact information, or legal@churchmediakit.com. Legal notices to Hekima should be sent to legal@churchmediakit.com or Hekima's mailing address in Section 1.

14. General terms

Customer may not assign these Terms without Hekima's consent; Hekima may assign these Terms in connection with a merger, acquisition, reorganization, or sale of substantially all its assets, subject to the notice obligations in Section 13. If a provision of these Terms is found unenforceable, the remaining provisions remain in effect. Hekima's failure to enforce a provision is not a waiver of it. These Terms, together with the Privacy Policy and Data Deletion instructions, are the entire agreement between Customer and Hekima regarding the Service and supersede prior discussions on the same subject. These Terms are provided in English; that version controls.
